ATX Courier Notary, LLC, a Wyoming limited liability company ("Company," "we," "us," or "our"), operating the NotaryLaunchpad platform ("Platform"), is committed to protecting the privacy of our users ("you" or "your"). This Privacy Policy describes how we collect, use, disclose, store, and protect personal information when you visit our website, register for an account, or use our services.
By accessing or using the Platform, you consent to the practices described in this Privacy Policy. If you do not agree, you must discontinue use of the Platform.
1. INFORMATION WE COLLECT
1.1 Information You Provide Directly
We collect information you voluntarily provide when you register, configure your account, or use our services, including:
- Account Registration: Name, email address, phone number, business name, business address, and password
- Professional Credentials: Notary commission number, commission expiration date, state of commission, and proof of licensing documentation
- Business Information: Legal business name and structure, federal and state tax identification numbers, business address, and banking information for payment processing
- Payment Information: Credit card or other payment details processed through Stripe, Inc. (we do not directly store full credit card numbers)
- User Content: Website content, blog posts, branding materials, and other content you upload to the Platform
- Communications: Messages sent through our contact form, support requests, and other correspondence with us
1.2 Information Collected from Your Customers
When your customers use your services through the Platform, we may process the following information on your behalf as a data processor:
- Customer Identity Information: Name, email address, phone number, and mailing address
- Identity Verification Data: Government-issued ID photographs, selfie images, and knowledge-based authentication (KBA) responses, collected through our third-party identity verification providers (Persona and Authenticate.com)
- Session Recordings: Audio and video recordings of remote online notarization sessions, as required by applicable law
- Documents: Documents uploaded for notarization, courier delivery, apostille processing, or field inspection services
- Payment Data: Transaction amounts and payment confirmations processed through Stripe
1.3 Information Collected Automatically
When you visit our website or use the Platform, we automatically collect:
- Device and Browser Information: IP address, browser type and version, operating system, device type, and screen resolution
- Usage Data: Pages visited, features used, time spent on pages, click patterns, and referring URLs
- Cookies and Similar Technologies: We use cookies, local storage, and similar technologies to maintain session state, remember preferences, and analyze usage patterns. See Section 8 (Cookies) for details
- Log Data: Server logs including access times, error logs, and request metadata
2. HOW WE USE YOUR INFORMATION
We use the information we collect for the following purposes:
- Service Delivery: To provide, operate, and maintain the Platform and all associated services including remote online notarization, mobile notary, courier, apostille, and field inspection services
- Account Management: To create and manage your account, verify your identity and professional credentials, and process subscription billing
- Payment Processing: To facilitate transactions between you and your customers, calculate and collect platform fees and revenue sharing, and manage prepaid credit balances
- Identity Verification: To verify the identity of signers participating in notarization sessions through our integrated third-party verification providers
- Compliance and Legal Obligations: To maintain notarial journals, session recordings, and audit trails as required by applicable law, and to respond to legal process or government requests
- Communications: To send transactional emails (order confirmations, session notifications, billing alerts), system notifications, security alerts, and, with your consent, marketing communications
- Platform Improvement: To analyze usage patterns, diagnose technical issues, develop new features, and improve the user experience
- Security and Fraud Prevention: To detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms of Service
- Customer Support: To respond to your inquiries, troubleshoot issues, and provide technical assistance
3. DATA PROCESSING ROLES
Under applicable data protection laws (including GDPR and CCPA):
- When you are a Platform user (notary/operator): We are the data controller for the personal information you provide to us directly (your account information, credentials, billing data). We process this data to provide you with our services.
- When processing your customer data: You are the data controller for personal information your customers provide through your use of the Platform. We act as a data processor, processing this data solely on your behalf and in accordance with your instructions as described in our Terms of Service. You are responsible for obtaining appropriate consents from your customers and providing them with privacy notices regarding your data practices.
4. DISCLOSURE OF PERSONAL INFORMATION
We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We may share your information in the following circumstances:
4.1 Third-Party Service Providers
We share information with trusted third-party service providers who assist us in operating the Platform, including:
- Stripe, Inc.: Payment processing, payout management, and financial reporting. Stripe receives your banking information, transaction data, and tax identification numbers. Stripe's use of your data is governed by Stripe's Privacy Policy.
- Persona: AI-powered government ID authentication and selfie liveness detection for identity verification during RON sessions. Persona receives government ID photographs and selfie images. Persona's use of your data is governed by their privacy policy.
- Authenticate.com: Knowledge-based authentication (KBA) for identity verification. Authenticate.com accesses public records and credit bureau data to generate verification questions. No sensitive answers are exposed to the notary. Their use of data is governed by their privacy policy.
- Twilio Inc.: Secure video conferencing and session recording for RON sessions, and SMS/text message delivery. Twilio receives audio/video data and phone numbers. Twilio's use of your data is governed by their privacy policy.
- Microsoft Azure: Cloud hosting, data storage, and infrastructure services. All Platform data is hosted on Microsoft Azure infrastructure. Azure's data handling is governed by Microsoft's privacy and compliance commitments.
4.2 Legal Requirements
We may disclose your information when we believe in good faith that disclosure is necessary to:
- Comply with applicable laws, regulations, legal processes, or enforceable governmental requests
- Enforce our Terms of Service, including investigation of potential violations
- Detect, prevent, or address fraud, security issues, or technical problems
- Protect the rights, property, or safety of Company, our users, or the public as required or permitted by law
4.3 Business Transfers
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your personal information may be transferred to the acquiring entity. We will provide notice before your information is transferred and becomes subject to a different privacy policy.
4.4 Aggregated and Anonymized Data
We may share aggregated or anonymized data that cannot reasonably identify you for purposes such as industry analysis, benchmarking, and platform improvement.
5. DATA SECURITY
We implement industry-standard security measures to protect your personal information, including:
- Encryption in Transit: All data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher
- Encryption at Rest: All stored data is encrypted using AES-256 encryption in our cloud data centers
- Document Sealing: Notarized documents are sealed with PAdES-B digital signatures with SHA-256 hash integrity verification
- Infrastructure Security: Our hosting infrastructure on Microsoft Azure maintains SOC 2 Type II compliance
- Access Controls: Multi-factor authentication options, role-based access controls, and regular access reviews
- Monitoring: Continuous infrastructure-level security monitoring and automated threat detection
- Incident Response: We will notify affected users of security incidents within 72 hours of discovery, including available details about the scope and impact
While we take reasonable precautions to protect your data, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security.
6. DATA RETENTION
- Account Data: We retain your account information for as long as your account is active and for a reasonable period afterward to fulfill legal obligations and resolve disputes
- Notarization Records: Session recordings, notarial journals, and related compliance records are retained in accordance with the retention periods required by applicable state law (which may range from 5 to 10 years or longer depending on jurisdiction)
- Transaction Records: Financial transaction records are retained for at least 7 years as required for tax and accounting purposes
- Post-Termination: Upon account termination, you have 30 days to export your data. After that period, we will delete your data except as required by law or legitimate business purposes (such as fraud prevention or compliance record-keeping)
- Contact Form Submissions: Messages submitted through our contact form are retained for the purpose of responding to your inquiry and for a reasonable period afterward
7. YOUR RIGHTS AND CHOICES
7.1 Access and Portability
You may request a copy of the personal information we hold about you by contacting us at preflight@notarylaunchpad.com. We will provide your data in a commonly used, machine-readable format within 30 days of a verified request.
7.2 Correction
You may update or correct your account information at any time through your account dashboard or by contacting us.
7.3 Deletion
You may request deletion of your personal information by contacting us. We will comply with your request unless we are required to retain the data for legal or compliance purposes (such as notarial journal retention requirements). In such cases, we will inform you of the specific retention obligation.
7.4 Marketing Communications
You may opt out of marketing emails at any time by clicking the "unsubscribe" link in any marketing email or by contacting us. You may opt out of marketing SMS/text messages at any time. Essential transactional and security communications may not be opted out of while your account remains active.
7.5 California Residents (CCPA)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose about you
- Request deletion of your personal information (subject to legal retention requirements)
- Opt out of the sale of your personal information (we do not sell personal information)
- Not be discriminated against for exercising your privacy rights

10. CHILDREN'S PRIVACY

11. INTERNATIONAL DATA TRANSFERS
The Platform is hosted in the United States on Microsoft Azure infrastructure. If you access the Platform from outside the United States, your information will be transferred to and processed in the United States. By using the Platform, you consent to this transfer. We take steps to ensure that your data receives an adequate level of protection in the jurisdictions in which we process it.
12. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will:
- Update the "Last Updated" date at the top of this page
- Notify registered users via email for material changes
- Post a prominent notice on our website
